Transport provider standards
Administrative checks are necessary. They are not magic.
Our allocation process is designed to obtain relevant provider information, define the movement clearly and document the booking. No administrative check can eliminate every transport risk.
Provider identity
Before allocation, the provider should supply sufficient business and contact information to identify the entity accepting the work. This may include the legal business name, trading name, address, company or sole-trader details, traffic-office contact and payment information.
Operating authority and competence
Where relevant to the vehicle and movement, the provider should be able to demonstrate the authority, licences, permits, training or certifications required to perform the work lawfully.
Insurance evidence
Relevant insurance evidence should be requested and reviewed for apparent currency and suitability. Insurance evidence is not the same as a guarantee that every loss will be covered, and carrier liability is not automatically equal to the full value of the cargo.
Vehicle and equipment suitability
The provider must understand the load dimensions, weight, packaging, access conditions, loading method and any specialist requirements. The offered vehicle or trailer should be suitable for those declared requirements.
Written instructions
Collection, delivery, contact details, booking references, goods description and special instructions should be confirmed in writing. Material changes must be reported rather than assumed.
Collection and delivery documentation
The provider should obtain and return appropriate collection and delivery evidence, including signed proof of delivery where available. Damage, shortage, refusal, delay or access problems should be reported promptly.
Limitations of checks
Documents can expire, circumstances can change and third parties can fail. These standards reduce avoidable ambiguity; they do not guarantee performance, eliminate fraud or replace appropriate contractual and insurance arrangements.
