What we collect and where it comes from
If you contact us, we hold what you send us: your name, employer, role, email address, telephone number and the content of your message.
We may also hold business contact details obtained without asking you first—typically name, employer, job title and work email address or telephone number—from company websites, publicly available business directories, trade association listings, professional networking sites and industry publications. We do not buy marketing lists.
We do not intentionally collect special-category data for ordinary B2B prospecting and do not carry out automated decision-making about individuals.
Why we use personal data and our lawful basis
B2B freight and logistics outreach — legitimate interests. Our interest is establishing commercial relationships with shippers, carriers, forwarders and other relevant operators. Outreach is limited to business roles relevant to the services we are developing and stops on request.
Responding to enquiries and providing services — legitimate interests or contract. Where we are working with you or your employer, processing may be necessary to take steps before a contract or perform a contract.
Legal and regulatory obligations — legal obligation. This may include sanctions screening, record keeping, tax and other mandatory compliance requirements.
Who we share information with
We use service providers to run our business, including email, IT and hosting providers. We may share relevant shipment or contact information with carriers, forwarders, customs specialists and other operators where necessary to assess or arrange a movement, and with insurers, brokers, accountants, legal advisers or public authorities where appropriate.
International transfers
Some service providers may process data outside the United Kingdom. Where required, we rely on an applicable UK adequacy regulation or recognised transfer mechanism and safeguards.
How long we keep information
- Prospect and research contact details: generally up to two years from the last meaningful contact, unless a longer suppression record is necessary to honour an objection.
- Enquiries that do not become business: generally up to two years.
- Customer, carrier and supplier records: during the relationship and generally up to six years afterwards where required for contractual, tax or limitation purposes.
- Records required by law: for the relevant statutory period.
Your rights
You may have rights to be informed, access, rectification, erasure, restriction, objection and portability depending on the processing. You have an absolute right to object to direct marketing. If you tell us to stop contacting you for marketing, we will stop and may retain a minimal suppression record so the request is honoured.
Complaints
Contact operations@aegisfreight.co.uk first if you have a concern. You may also complain to the UK Information Commissioner’s Office.
