Operational standards

Controls behind every
coordinated movement.

These standards describe the baseline expected from appointed carriers and specialist providers. Booking-specific instructions always take priority.

Due diligence

Providers may be checked for legal identity, operating authority, relevant licences, insurance, equipment, service capability, contacts, bank details and available performance history. Checks vary by service and jurisdiction and do not eliminate all risk.

Written instructions

Providers must work from the confirmed booking instructions covering cargo, route, dates, locations, equipment, references, handling, customs status, documents and escalation contacts.

No unauthorised subcontracting

A provider must not re-broker or subcontract a confirmed movement without prior written approval. Any approved subcontractor must meet the applicable requirements.

Cargo and security

Suitable vehicles, equipment, load restraint, seals, secure parking, handling practices and access controls must be used according to the cargo and route.

Communication

Collection, departure, material milestones, delay, breakdown, customs issue, route change, shortage, damage, failed delivery and completion must be reported through the agreed channel.

Documents and evidence

Collection notes, consignment documents, customs evidence, temperature records, photographs, signed POD and other booking documents must be complete, legible and returned within the agreed timeframe.

Rates and extras

The written rate covers only the agreed scope. Additional charges must be supported and raised promptly. Avoidable or unauthorised costs may be disputed.

Invoices and payment

Invoices must identify the correct legal entity, booking reference, agreed rate and supporting evidence. Payment follows the written terms agreed for that provider or booking.

Incidents and claims

Providers must preserve evidence, protect the cargo from further loss, notify relevant authorities where required and cooperate with investigation and contractual claim procedures.

Performance review

Reliability, communication, document quality, claims, invoice accuracy and adherence to instructions may affect future allocation of work.
